1. Data Protection, Subject Access Requests and FOIA Enquiries

Individuals have the right to access information about themselves. Such requests for information are known as a data subject access request. Under a Data Subject Access Request you may ask us for information we hold that relates to you as an individual, where you are the principle subject of the data.

For FX Plus and other public authorities, the FOIA permits you to request access to all the types of information we hold, whether personal or non-personal.

A request under the Freedom of Information Act must be in writing (which includes email) and must include a name and address to which a response can be sent.

Please note: If you are raising a Freedom of Information Act enquiry that concerns student information, you should contact the relevant University in the first instance.

2. Data Protection Complaints Process

We are committed to managing your personal data in a fair, transparent, and lawful manner. If you are dissatisfied with how your data has been handled, this process explains how you can submit a complaint.

3. How to Make a Complaint

If you have a complaint about how your data has been handled, please contact our Data Protection Officer (DPO). This allows us to investigate and resolve the issue as quickly as possible.

When you contact us, please provide as much detail as possible about your complaint. This will help us to understand the issue and investigate it thoroughly.

4. What to Expect from us

We will acknowledge receipt of your complaint within five working days.

Where FX Plus acts solely as a Data Processor on behalf of another Data Controller, complaints will be referred to the relevant Data Controller for investigation and response. In such cases, FX Plus will provide reasonable assistance to the Data Controller where required under contractual or legal obligations.

Where FX Plus is the data controller, we will investigate your complaint and provide you with a full response within 30 calendar days.

Throughout the process, we will:

  • Keep you updated on our progress.
  • Request any additional information we require from you in a timely and proportionate way.
  • Provide a clear and thorough statement about the outcome of our investigation in writing.

5. If You are not satisfied

If you are not satisfied with the outcome of your complaint, or if you feel we have not handled it appropriately, you have the right to complain to the Information Commissioner’s Office (ICO). The ICO is the UK’s independent regulator for data protection and information rights.
